Assistant Manager - Facilities & Administration

Role Overview:

 

The Assistant Manager - Facilities & Administration is responsible for ensuring the smooth and efficient day-to-day operations of the workplace. The role involves maintaining office facilities, managing administrative tasks, IT support and supporting the overall workplace experience.

 

What You Will Do:

  • Oversee daily facility operations, including maintenance of the office premises and coordination with vendors for repairs, cleaning, and upkeep

  • Ensure that office equipment (e.g., printers, coffee machines, etc.) are functioning properly and address any issues promptly

  • Maintain a comfortable and safe work environment by ensuring that all health and safety standards are met

  • Manage access control and security systems for the office

  • Handle procurement and inventory management of office supplies, equipment, and pantry stock

  • Manage office seating arrangements and maintain updated seating plans

  • Assist with travel arrangements, accommodation, and logistics for employees, visitors, and executives as needed

  • Support the IT Admin team, w.r.t IT related work, which requires coordinating with the building's IT admin team

  • Coordinate with internal teams for organizing events, meetings, and other corporate functions

  • Serve as a point of contact for employees regarding facility-related inquiries or concerns

  • Ensure the smooth onboarding of new employees by coordinating seating, equipment setup, and orientation on office policies

  • Address ad hoc administrative requests from various departments

  • Maintain accurate and up-to-date records of facilities, vendor agreements, office inventory, and other administrative documentation

 

What You Will Need:

 

  • Bachelor’s degree in Business Administration, Facilities Management, or a related field

  • 7-10 years of experience in facilities management & administration

  • Strong organizational and multitasking abilities

  • Excellent communication and interpersonal skills

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with facilities management software is a plus
