Procurement Specialist Job Duties:
Manage and coordinate the medical equipment procurement component of assigned projects.
Support project teams throughout the procurement process and collaborate with internal stakeholders to ensure project procurement readiness prior to Procurement Kick-Off.
Participate in Project Procurement Status Meetings with Project Leads and Procurement team members.
Assist Equipment Planning (EP) and Implementation Management (IM) leads in monitoring procurement-related hours and supporting change order development.
Perform procurement activities on multiple projects for multiple clients, including:
Requesting and evaluating quotes for medical equipment.
Confirming manufacturer, model, configuration, quantities, and equipment options.
Preparing purchase requisitions and issuing them to clients for approval.
Tracking open requisitions and purchase orders through completion.
Coordinating with project teams to understand priorities, schedules, and urgency requirements.
Maintain accurate procurement records and documentation throughout the project lifecycle.
Follow established procurement Best Practices and identify opportunities for process improvements.
Communicate regularly with management, Project Leads, Equipment Planners, and Implementation Leads regarding procurement status and project updates.
Support the development and execution of cost-effective procurement strategies.
Provide guidance and support to project team members regarding Covalus procurement processes and procedures.
Collaborate with Equipment Planners to ensure equipment selections and configurations are complete and accurate prior to procurement activities.
Assist in proposal development efforts by providing procurement-related data, historical metrics, and budgetary information as needed.
Support database and system improvement initiatives by working with the Database Manager, EP Team, IM Team, and Leadership to identify, test, and implement procurement process enhancements.
Maintain positive supplier relationships while identifying and evaluating additional vendors and sourcing opportunities.
Assist in resolving procurement issues related to pricing, availability, lead times, substitutions, and order discrepancies.
Requirements:
Excellent written and verbal communication skills, including professional phone communication.
Experience working independently and collaboratively within a team environment.
Strong organizational skills with a process-driven approach to work.
Experience coordinating procurement activities across multiple projects simultaneously.
Knowledge of purchasing, procurement, and supply chain processes.
Scheduling and project coordination experience.
Experience supporting change management activities.
Negotiation and vendor relationship management skills.
Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications:
Experience in healthcare, medical equipment, construction, or capital equipment procurement.
Understanding of equipment planning, project management, or healthcare facility projects.
Associate's or Bachelor's Degree in Business, Supply Chain Management, Healthcare Administration, or a related field.
