Ideal Candidate:

The Assistant Manager – Admin & Facilities will be responsible for overseeing day-to-day workplace operations, Travel & transport management, facility maintenance (soft skills and technical), admin logistics, vendor management, and office fit-out/expansion support. This role ensures smooth daily administrative operations while maintaining high standards of workplace safety, hygiene, cost efficiency, and employee experience.

Qualifications:

  • Bachelor’s degree in business administration, Hotel Management, Facility Management, or a related field.

  • 6 to 7 years of relevant experience in corporate administration, workplace operations, or facility management (experience in fast-scaling tech companies or multi-location setups preferred).

Responsibilities:

1. Facility Operations & Maintenance (Hard & Soft Services)

a)     Oversee daily facility operations across office floors, labs, command centres, and common areas.

b)     Manage Soft Services: Housekeeping, pantry services, pest control, waste management, and office security team & protocols.

c)     Manage and coordinate technical Services: Preventative and breakdown maintenance for HVAC, UPS systems, DG sets, fire safety/suppression systems, electrical infrastructure, and plumbing.

d)     Perform regular site walk-throughs to log and resolve facility snags, safety hazards, and aesthetic upkeep issues.

2. Project & Fit-Out Support (Corporate Real Estate Expansion)

a)     Support during office expansion, renovation, and seat/floor re-stacking projects.

b)     Coordinate with Design & Build (D&B) vendors, MEP consultants, interior contractors, and IT teams during site execution and Handover.

c)     Assist in site readiness, furniture/workstation integration, signage installation, and employee relocation management.

3. Vendor Management & Procurement

a)     Manage empanelment, SLA tracking, and KPI evaluations for external vendors (catering, security, travel, facility management agencies).

b)     Review vendor invoices, verify site service delivery, and coordinate with finance for timely processing and bill reconciliation.

c)     Negotiate first cut of commercial terms for office supplies and maintenance contracts.

4. Employee Transport, Guest Relations & General Admin

a)     Oversee corporate travel arrangements, Visa, hotel bookings, flight reservations, and guest/VIP hospitality.

b)     Manage office asset tracking, stationery inventory, pantry consumables, and administrative procurement.

c)     Coordinate mailroom operations, courier logistics, and employee housing/guest house arrangements when required.

5. Statutory Compliance, EHS & Security

a)     Ensure strict adherence to environmental, health, and safety (EHS) standards, building bylaws, and local government compliance.

b)     Coordinate fire drills, emergency response plans, security access control systems (CCTV, biometric/RFID management), and visitor logging.

c)     Maintain all regulatory records, trade licenses, safety audit reports, and AMC (Annual Maintenance Contract) documentation.

6. Budgeting & Cost Optimisation

a)     Assist in drafting the annual OPEX and CAPEX budget for workplace operations.

b)     Monitor monthly facility expenditures and implement cost-reduction initiatives without compromising service quality.
