People Operations Assistant

Job Summary: 

The People Operations Assistant serves as a key administrative partner within the People Operations team, reporting directly to the People Operations Manager. This role is responsible for delivering comprehensive administrative support to ensure the seamless and efficient functioning of the organization’s people operations. The incumbent will collaborate closely with recruiters, hiring managers, and cross-functional stakeholders to uphold best practices in talent acquisition, onboarding, employee engagement, and compliance 

Essential Functions: 

  • Recruitment Coordination: Oversee and facilitate the end-to-end recruiting process, partnering with recruiters and hiring managers to ensure timely and effective candidate selection, interview scheduling, and communication.  

  • Onboarding Support: Assist in the onboarding of new hires by preparing IT service requests, developing orientation agendas, employee training using LMS, and creating presentation materials to foster a positive and informative onboarding experience.  

  • Records Management: Conduct regular audits of employee files and records to verify the completeness and accuracy of documentation, ensuring compliance with organizational and regulatory requirements.  

  • Payroll Liaison: Maintain accurate tracking of employee referral bonuses and serve as the primary liaison between the People Operations team and the payroll department for related matters.  

  • Wellness Program Administration: Manage the Wellness Commitment Program, including onboarding new participants and processing discontinuations, to support employee well-being initiatives.  

  • Event Planning & Execution: Support the planning and execution of organizational events such as benefits enrollment, company-wide meetings, employee recognition programs, and holiday celebrations.  

  • Communications: Assist in the creation and distribution of internal communications, including company memos and announcements, to ensure timely and effective information flow.  

  • Employee Support: Provide responsive customer service to employees by addressing inquiries and resolving issues related to people operations.  

  • Recognition Programs: Administer employee recognition initiatives, including management of birthday and anniversary communications, as well as milestone award programs.  

  • Calendar & Document Management: Maintain team calendars and manage People Operations documents on SharePoint to ensure accessibility and organization. 

 

Requirements: 

  • Minimum of two years’ experience in Human Resources/People Operations. 

  • Proficiency in Microsoft Office Suite and related software; experience with SharePoint is highly desirable.  

  • Demonstrated ability to quickly learn and utilize human resource information systems (HRIS), and other relevant computer applications. 

 

Salary Range: $27/h - $34/h 

Work Schedule: Hybrid, 1 or 2 days in office required
