We’re on the lookout for a Senior HR Operations Specialist who doesn't just keep things running, but sees what needs to change before anyone else does. Someone who looks at a process that works for 120 people and already knows how to make it work as we scale.


🚀 What you'll do

  • Own our core HR operations: from drafting and managing employment contracts to keeping our HRIS (Personio) accurate and up-to-date and making sure nothing slips through the cracks

  • Be our go-to expert on Austrian labor law and compliance, proactively flagging changes and translating legal requirements into clear, practical processes

  • Take ownership of payroll preparation and coordination with our external payroll provider, ensuring our people are paid correctly and on time - every time

  • Build and maintain meaningful people data and reporting, turning HR metrics into insights that help the business make better decisions

  • Handle the operational side of onboarding and offboarding - from system setup and document management to making sure every new joiner hits the ground running on day one and every departure is handled smoothly

  • Continuously look for ways to improve and scale our HR processes, spotting what works for 120 people but won't work as we grow, and fixing it before it becomes a problem


🎒 Your bag of tricks

  • HR Operations is your core, not a part of a broader generalist role. You've owned it, built it, and improved it

  • You know Austrian labor law inside and out and feel confident navigating compliance topics independently

  • You don't wait to be told what's broken. You spot gaps before they become fires and take the lead on fixing them

  • You’re an HRIS power user - you pick up new tools quickly and love finding smarter ways to work

  • You're analytical: you make decisions based on data, not gut feel, and you can translate HR metrics into something the business actually cares about.

  • You communicate clearly and kindly - whether you’re explaining a payroll process or delivering tricky news, people always feel respected and informed

  • You’re proactive and self-driven: you spot a gap, you fix it, without waiting to be asked

  • You have the right to work in the EU/Austria and are based in Vienna or open to relocating


🔥 Nice-to-haves

  • Hands-on experience with Personio

  • Experience with visa processes, employee relocation, or workations

  • Experience with HR process automation tools or workflows

  • German language skills (conversational or above)
