LionsBot is a fast-growing robotics company deploying autonomous cleaning robots across Europe. We are looking for a Singapore-based Operations Administrator to provide end-to-end administrative support for our European operations during CET working hours (SGT 1:00 PM – 10:00 PM). You will be the single point of administrative coordination for our Europe team — handling ERP processing, invoicing, spare parts logistics, and financial administration.
Key Responsibilities:
Create and manage purchase orders, proforma invoices, and sales invoices in ERP system for European operations.
Process spare parts quotes, customer orders, and credit notes within agreed turnaround times.
Coordinate spare parts shipping logistics with European warehouse team and freight forwarders.
Manage accounts receivable follow-up for European dealer accounts.
Maintain spare parts master data including HS codes, country of origin, and pricing.
Conduct weekly cycle counts, stock audits, and fleet tracking administration.
Process expense reports and support monthly payroll administration for the Europe team.
Required Qualifications:
2+ years in operations administration, procurement, logistics coordination, or order management.
Hands-on ERP experience (SAP Business One, NetSuite, or equivalent) — must be able to create POs and invoices independently.
Strong proficiency in written English for professional communication with European dealers and partners.
Experience working across time zones or in shifted-hours arrangements.
High attention to detail with ability to manage 20–30+ daily transactions accurately.
Self-directed working style — comfortable operating independently without daily supervision.
Familiarity with international shipping documentation (HS codes, commercial invoices, incoterms) is a strong plus
