The Office Manager position at Rogers-O'Brien Construction is crucial for ensuring the smooth operation of our San Antonio office. This role involves organizing and coordinating office operations and procedures to enhance organizational effectiveness and efficiency. The Office Manager will provide comprehensive administrative support to regional leaders and the estimating team, handling a variety of executive-level tasks and serving as a key resource for all staff members.

This role requires the ability to manage office functions, support estimating operations, and maintain a welcoming environment for visitors. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the capacity to handle confidential information with discretion. As the overall coordinator of administrative functions, the Office Manager plays a key role in supporting both office staff and regional initiatives.

Skills & Qualification

  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook to facilitate efficient office management

  • Strong data entry and database management skills for accurate record-keeping

  • Excellent organizational and time management abilities to prioritize tasks and meet deadlines

  • Strong written and verbal communication skills to effectively liaise with team members and stakeholders

  • Ability to work independently and as part of a team to support various office functions

  • Discretion and ability to handle confidential information responsibly

  • Experience with accounting software and construction-specific software preferred

  • Minimum 5 years in an Office Manager, Executive Assistant, or comparable role required

Responsibilities

  • Manage regional leader calendars and coordinate meeting rooms to ensure smooth day-to-day operations

  • Process and submit expense reports promptly and accurately to support regional leaders

  • Coordinate travel arrangements for regional leaders, including flights, hotels, and ground transportation

  • Prepare correspondence, presentations, and reports to assist regional leadership with communication and planning

  • Maintain confidentiality of sensitive information to protect organizational integrity

  • Assist estimating team with bid preparation, document organization, and scheduling to support project goals

  • Serve as point person for office maintenance requests and manage office equipment to ensure operational efficiency

  • Greet and assist office visitors professionally to uphold the company's welcoming atmosphere

  • Maintain regional petty cash account and process check requests to facilitate financial operations

  • Assist with hiring and onboarding of regional personnel to support human resources functions
