Role Overview

This is a full-time, remote Client Services Coordinator position. You’ll be the backbone of our client service and operations team—supporting financial advisors, client relationships, and firm growth initiatives. You’ll directly impact our ability to deliver world-class service and maintain operational excellence.

You’ll collaborate with leadership on process improvement, compliance, and client service strategies—developing the operational acumen and project management skills required to grow into a future leadership role.

Key Responsibilities

  • Prepare and process investment account applications, ACAT transfers, and insurance paperwork across multiple custodians (Schwab preferred).

  • Provide exceptional service to high-net-worth clients, addressing inquiries, troubleshooting account issues, and ensuring timely follow-up.

  • Execute cashiering, trading support, and financial transactions with accuracy and attention to detail.

  • Manage the life insurance process, including application tracking, coordination with carriers, and policy delivery.

  • Maintain and update client information in CRM systems such as Redtail, while integrating with tools like Orion, eMoney, and Holistaplan.

  • Support compliance tasks and ensure regulatory adherence within the RIA framework.

  • Partner with Advisors and leadership to streamline operations, improve client experience, and enhance internal workflows.

  • Assist with business initiatives spanning marketing, events, and team operations.

Qualifications

  • Bachelor’s degree in Business, Finance, or related field preferred.

  • 5+ years of client service or operations experience in a financial planning, investment management, or life insurance environment.

  • Deep understanding of financial planning concepts, investment products, and RIA operations.

  • Familiarity with platforms such as Schwab Advisor Center, Orion, Redtail, eMoney, and Holistiplan.

  • Strong grasp of fiduciary standards, compliance processes, and regulatory reporting (Series 65 preferred or willingness to obtain).

  • Proven track record of optimizing operational workflows and enhancing the client experience.

  • Advanced Microsoft Office skills; Excel proficiency a must.

  • Detail-oriented, reliable, and proactive, with a growth mindset and exceptional communication skills.

  • Self-starter who thrives in a fast-paced, collaborative wealth management environment.
