Help Build the Operating System Behind a Growing Firm

This is not a traditional administrative role. You'll work closely with the Operations Manager to strengthen the firm's operational infrastructure, improve business systems, and execute initiatives that support our continued growth.

We're looking for someone who is naturally curious, analytical, and proactive, someone who notices opportunities for improvement, takes ownership, and enjoys creating order from complexity.

What You'll Do

As an Operations Associate, you'll play a key role in supporting operational excellence across the firm by owning reporting, improving CRM data quality, coordinating projects, and helping build scalable business processes.

Responsibilities

·       Partner closely with the Operations Manager to execute strategic operational initiatives and continuous improvement projects.

·       Own recurring operational reports and dashboard maintenance, ensuring data is accurate, timely, and actionable.

·       Build, maintain, and improve Excel-based reporting tools and data models.

·       Audit operational data to identify inconsistencies and improve overall data integrity.

·       Maintain Redtail CRM data quality through ongoing review, cleanup, and quality assurance.

·       Design, build, and maintain Redtail workflows, automations, and business processes.

·       Support reporting enhancements and identify opportunities to improve operational visibility.

·       Coordinate cross-functional operational projects by tracking timelines, following up on action items, and helping initiatives move from idea to execution.

·       Maintain operational documentation, standard operating procedures, and inventory logs.

·       Test new workflows and operational processes prior to implementation.

·       Identify opportunities to automate manual work and improve operational efficiency.

·       Collaborate with team members across departments to support operational consistency and continuous improvement.

What We're Looking For

The ideal candidate is someone who enjoys making things better. You naturally notice when something doesn't make sense, enjoy working with data, and take pride in building organized, scalable systems.

Qualifications

·       2+ years of experience in operations, business operations, project coordination, business systems, or a related role.

·       Strong Microsoft Excel skills, including formulas, pivot tables, lookups, and data analysis.

·       Experience working with CRM systems; Redtail/Asana experience is a plus.

·       Experience using AI tools (such as ChatGPT, Claude, Microsoft Copilot, or similar) to improve productivity, automate workflows, analyze data, or support operational projects. Curiosity and a willingness to explore emerging technologies are highly valued.

·       Excellent organizational and project management skills.

·       Strong analytical and problem-solving abilities.

·       Exceptional attention to detail and commitment to data accuracy.

·       Comfortable learning new technology and business systems.

·       Strong written and verbal communication skills.

·       Ability to manage multiple priorities in a fast-paced, growing environment.

Compensation: $70,000 + Uncapped Bonuses
