Our Company
Lightning AI is the company behind PyTorch Lightning. Founded in 2019, we build an end-to-end platform for developing, training, and deploying AI systems—designed to take ideas from research to production with less friction.
Through our merger with Voltage Park, a neocloud and AI Factory, Lightning AI combines developer-first software with cost-efficient, large-scale compute. Teams get the tools they need for experimentation, training, and production inference, with security, observability, and control built in.
We serve solo researchers, startups, and large enterprises. Lightning AI operates globally with offices in New York City, San Francisco, Seattle, and London, and is backed by Coatue, Index Ventures, Bain Capital Ventures, and Firstminute.
Our Team
We’re looking for an Office Manager to join our People Experience team and support our Seattle office. This role is well suited for someone early in their office operations career who enjoys hands-on execution, learning by doing, and growing their scope over time. You’ll be supported in learning existing systems while also being encouraged to take initiative, share ideas, and help build scalable office operations as the company grows.
The People Experience team is focused on creating a positive, efficient, and people-first workplace. We value people who take ownership, ask thoughtful questions, and help turn good intentions into durable systems. In this role, you’ll help ensure operational continuity during the office move while contributing to reliable, repeatable office practices that support a growing team.
Location
This role is based in our Redmond, WA office and requires onsite presence at least three days per week, with additional onsite support as needed.
What You’ll Do
Own day-to-day office operations (supplies, vendors, facilities, access, cleanliness, etc.).
Be the point of contact for employees in the Seattle office.
Manage vendors (cleaning, snacks, maintenance, building management).
Support office experience (lunch programs, small events, onboarding logistics).
Handle ad hoc operational needs (deliveries, setup, troubleshooting issues in real time).
Partner with Workplace Experience Manager to help with employee experience initiatives.
Ensure the office is functional, stocked, and running without friction daily.
Manage office-related purchases responsibly, including tracking spend, avoiding unnecessary costs, and returning unused items when appropriate.
Qualifications
1–3 years of experience in office management, workplace operations, administrative support, or a related role (or equivalent hands-on experience).
Strong operational ownership: can run an office independently without oversight.
Strong sense of financial responsibility, mindful of budgets, avoids waste, and proactively returns or reallocates unused items.
Highly responsive and proactive: solves problems quickly and anticipates needs.
Strong interpersonal and communication skills, with a friendly and professional presence.
Highly organized, with strong attention to detail and the ability to manage multiple priorities.
Comfortable learning in a fast-growing environment where not everything is fully defined, and motivated to take increasing ownership over time.
Curious and improvement-minded, with an interest in systems, processes, and finding better ways to get work done, even if you’re still building experience.
Comfortable working cross-functionally and building trust through reliable follow-through.
Proactive, dependable, and willing to handle both logistical and physical aspects of the role (e.g., lifting supplies, standing, moving equipment).
Nice to have
Experience supporting a tech or startup office
Familiarity with office tools (Slack, Google Workspace, basic expense tools like Ramp)
Event or employee experience support
Familiarity with common office tech and equipment, can quickly get rooms set up and running without needing IT support
Experience managing multiple priorities in a fast-paced environment
