Role Description for Executive Assistant (EA) :

As an Executive Assistant (EA) you will manage the leadership team’s calendar, travel, and correspondence. You will also coordinate logistics for meetings and events. The EA will need to be highly organized, adaptable, and have excellent communication skills.

What will you do?

1) Managing the Leadership Calendar:

  • Coordinate and manage the Leadership team’s Inbox, and calendar, including meetings, appointments, and travel arrangements.

  • Prioritize and schedule meetings, ensuring efficient use of leadership’s time

  • Ensure timely reminders to the leaders about their schedules and meetings

2) Communication and Correspondence Management:

  • Handle correspondence, emails, phone calls, and inquiries on behalf of the Leadership team

  • Draft necessary communication for emails, meetings, seminars, etc.  

3) Travel Coordination, Logistics and Office Management:

  • Organize domestic and international travel logistics, including flights, accommodations, and itineraries

  • Ensure all travel arrangements align with the leadership’s preferences and schedule

  • Ensure timely reminders to the leadership about their travel schedules 

  • Coordinate logistics for board meetings and other executive-level gatherings

Requirements:

  • Proven experience handling confidential information with discretion

  • Exceptional organizational and time-management skills

  • Strong communication abilities, both written and verbal

  • Proficiency in MS Office, Google Sheets and google documents, other office software and scheduling tools

  • Ability to multitask and prioritize tasks effectively

  • Adaptability and the capacity to work under pressure in a fast-paced environment.

  • Ability to maintain confidentiality around files and documents, exercising discretion
