About the Role
The Implementation Specialist Assistant serves as the operational execution and momentum maintenance backbone of the Implementation function. This role is responsible for ensuring partners continue progressing through the Partner Checkpoint System after implementation conversations by maintaining communication, follow-through, scheduling coordination, and execution visibility across onboarding and implementation workflows.
This is not a passive administrative support role. The Implementation Specialist Assistant exists to maintain execution velocity, reduce operational friction, and ensure implementation momentum never stalls.
You will work closely with Implementation Specialists, partners, and internal teams to coordinate live calls, manage communication channels, track action items, monitor partner engagement, and escalate issues before they impact partner success.
The ideal candidate is highly organized, proactive, detail-oriented, and capable of operating with urgency in a fast-paced environment. They are skilled at maintaining momentum, following through consistently, and ensuring partners always know their next steps while keeping operational workflows clean, organized, and scalable.
Key Responsibilities
Live Implementation & Community Operations Support
Support live implementation calls, trainings, workshops, and community sessions
Moderate calls, manage attendance, and assist with participant engagement
Share links, resources, and instructions during live sessions
Coordinate post-call follow-up and operational execution
Monitor inbound partner communication across email, GoHighLevel, Skool, and internal systems
Respond promptly and route requests to the appropriate internal team member
Follow up on implementation action items and partner commitments
Identify when partners require direct implementation support
Schedule calls within designated implementation availability blocks
Reduce scheduling friction and improve coordination efficiency
Prepare resources, agendas, reminders, and documentation for implementation calls
Track action items and implementation follow-ups consistently
Document commitments and ensure execution continues after conversations
Partner Health & Escalation Awareness
Monitor for signs of disengagement, confusion, inactivity, or implementation delays
Coordinate internally to resolve operational or implementation friction
Help ensure partners remain engaged throughout implementation
Momentum Maintenance & Partner Movement
Monitor checkpoint progression inside the Partner Checkpoint System
Help maintain consistent partner movement toward launch and execution
Qualifications
Minimum 2 years of experience in customer support, customer success, operations support, implementation support, or community management
Strong written communication and organizational skills
close attention to detail and strong follow-through
Ability to manage multiple systems, conversations, and workflows simultaneously
Strong judgment around escalation versus independent problem-solving
Comfortable operating in a fast-paced, high-accountability environment
Ability to maintain urgency while remaining calm and professional under pressure
Preferred Experience
Experience supporting onboarding or implementation workflows
Experience with CRM, communication, and community management platforms
Familiarity with operational coordination inside remote teams
Comfortable maintaining momentum across multiple partner accounts simultaneously
Experience supporting client-facing calls, trainings, or workshops
Compensation Range
Base Salary: Competitive based on experience
