About the Role

As a Workplace Operations Manager for our San Francisco office, you will be responsible for overseeing all daily office operations, managing facilities, coordinating workplace services, and ensuring a seamless employee experience that reflects our culture and commitment to excellence.

You will collaborate with cross-functional teams and the Leadership Team to optimize processes, maintain a safe and welcoming work environment, and support company culture, ensuring our work environment is conducive to productivity.

Key Responsibilities

Workplace Administration & Management

  • Manage the day-to-day office operations, organization, and service offerings.

  • Maintain office and kitchen supplies, including asset inventory.

  • Serve as the main point of contact for all workplace-related issues and address employee concerns promptly.

  • Facilitate office orientations/inductions, issue equipment, and arrange equipment collection and access deactivation for employee onboarding and offboarding.

  • Manage and record incoming and outgoing mail.

  • Monitor and manage the office operational budget, ensuring cost-effective solutions for all office needs.

Facility & Vendor Management

  • Manage vendors and build strong working relationships with them and building management.

  • Oversee workplace cleanliness and maintenance.

  • Manage and maintain security and access control systems.

  • Handle meeting room management, bookings, set-up, and support.

Event Management & Logistics

  • Organize lunches, catering, and internal events.

  • Assist in securing external event venues, catering, and decorations (as needed).

  • Assist in booking team bonding activities and dinners.

  • Lead logistics for Executive and Board meetings, and liaise closely with the Marketing Team for event support.

Compliance & Social Responsibility

  • Ensure the workplace is compliant with all safety standards.

  • Establish health protocols, promote wellness, and support workplace safety initiatives.

  • Provide assistance in sustainability initiatives and CG Gives charitable activities, including research and event execution.

  • Perform other general administrative and duties as required.

What You Will Bring

  • 10+ years of proven experience in office management, facilities, and events, including managing Executive-level meetings and arrangements.

  • Bachelor's degree in a relevant field.

  • Exceptional ability to manage multiple priorities, deliver work quickly, and to a high standard.

  • Adaptability and the ability to think quickly to reach a solution when unexpected issues arise.

  • Excellent communication skills and a collaborative mindset, with experience working with people from different cultures and seniority levels.

  • Knowledge of health, safety, and security protocols within the workplace.

  • Proven ability to negotiate with vendors and manage budgets effectively.

*The cash compensation range for this role is $100,000- $140,000.
