As a Senior Human Resources Manager, you’ll keep the daily HR engine running, serving as the first stop for employees and managers, turning questions into clear, practical guidance, and grounding your work in sound judgment and excellent documentation. The role leans toward operational execution and employee relations, ensuring our policies, processes, and records are fair, dependable, and audit-ready.
You’ll be especially skilled at navigating sensitive ER issues with empathy and discretion, coaching managers on policy-aligned next steps, writing crisp communications, keeping HRIS data clean and permissions controlled, staying ahead of multi-state requirements, and closing process gaps with simple SOPs, checklists, and automation. You’ll bring calm, consistency, and follow-through to moments that matter.
Day to day, you’ll triage the HR support inbox, handle ER intake and investigations, administer leaves end-to-end, maintain the policy library and acknowledgments, monitor multi-state compliance tasks, and produce reliable HR reports. You’ll support People programs, such as coordinating performance review and engagement surveys—timelines, templates, reminders, data pulls, and QA. You’ll also drive recurring HR audit cycles (e.g., I-9 reviews, access checks, records retention, policy acknowledgments) and support evidence collection for HR controls (SOC 2, HIPAA, GDPR).
It’s an exciting time—we’re building out the People team and improving workflows through automation. As capacity allows, you’ll lead people projects that spark your interest, especially where process, data, and tooling intersect.
Reporting to the Director of Operations (People), this role is perfect for someone who balances warmth with rigor—partners well across teams, is confident in ER and leaves, proactive on compliance and audits, and excited to help build a scalable People function, hands-on.
This is a full-time position based in the United States, remote with the option for hybrid at our NYC HQ or LA hub.
U.S. Work Authorization is required, Healthie is unable to provide sponsorship.
The base salary for this role is $145,000 - $175,000 per year plus equity, benefits, and annual bonus.
HR Inbox: Be the first stop for questions—welcome inquiries with care, clarify and provide next steps, triage and resolve requests, document cases, escalate or collaborate cross-functionally as needed, and track themes to improve FAQs/SOPs.
Employee Relations: Listen with care and discretion, guide sensitive matters from intake to resolution with fair investigations and clear documentation, and provide steady, policy aligned coaching for managers.
Leave Administration: Shepherd leaves with care and a people-first approach —navigate eligibility, explain options in plain language, issue timely notices, coordinate with benefits/payroll, and communicate RTW/re-orientation plans so managers are in the loop and can plan appropriate coverage.
Workplace Accommodations: Guide the interactive process with care—clarify essential job functions, gather and review documentation (we use Disclo), explore effective options, document decisions, and coordinate with managers, Finance/IT, and legal consultants as needed. Keep information confidential and connect accommodations with leave and return-to-work planning.
Benefits & Admin: Partner with our PEO and Finance to administer benefits, run open-enrollment comms/FAQs, coordinate QLEs, and organize friendly explainers or third-party expert sessions to help employees understand their options.
Multi-state Compliance & Reporting: Keep us audit-ready—maintain HR control evidence (SOC 2, HIPAA, GDPR), run recurring HR audit cycles, and track records retention. Maintain employment-law hygiene—prepare EEO reports, manage multi-state requirements (NY/CA focus), handle I-9/E-Verify, and coordinate policy training/acknowledgments; surface risks early.
HRIS & Data Admin: Keep people data accurate and permissions controlled; run routine audits and deliver reliable reports teams can trust.
Policies & Communications: Maintain the handbook and policy library (versions, acknowledgments) and craft friendly, clear comms and FAQs so expectations are easy to follow.
Recruiting Coordination: Partner with Talent Acquisition and hiring managers, prepare employment agreements with accuracy, answer candidate contract questions (escalating as appropriate), and organize background checks.
Offboarding: Lead respectful, compliant exits—prepare separation documents and manager talk tracks, process HRIS terminations, align state-specific final pay and notices, coordinate benefit terminations and unemployment claims with PEO/Finance, and partner with IT on deprovisioning and access-removal audits.
People Projects & Program Support: Work with the Director of Operations to bring our people programs to life—coordinate performance and engagement logistics, spot gaps and document missing SOPs, pilot automations (including AI-assisted workflows), and lead select people projects that excite you.
Required: Have 5-7+ years in HR/People Ops (generalist, ER, HRBP, or consulting).
Required: Bring 4+ years in Employee Relations, including ownership of complex ER investigation.
Required: Spent 3-4+ years within a scale-up organization (ideally high-growth B2B SaaS).
Required: Have 2+ years supporting distributed/remote or hybrid teams with multi-state compliance (NY or CA minimally).
Preferred: Interest and experience with HR automation, including practical AI-assisted workflows.
Preferred: Degree in HR or HR certification (e.g., SHRM-CP, SHRM-SCP, HRCI, PHR, or SPHR)
Nice-to-have: Global EOR experience, transitioning off a PEO, or other scale-up experience (e.g., standing up in-house payroll/benefits, HRIS migrations).
Nice-to-have: Experience in the healthcare or healthtech space, with familiarity around HIPAA-compliant environments.
Bring hands-on experience with leave administration, ADA/ADAAA interactive process, HRIS administration, and policy/document control with strong documentation habits.
Are fluent in core compliance practices: I-9 and E-Verify, EEO reporting, records retention, and supporting evidence for HR controls (SOC 2, HIPAA, GDPR).
Communicate clearly for non-HR audiences, coach managers and employees through sensitive situations, and protect confidentiality.
Build trust through steady judgment, empathy, and professionalism, especially in moments that matter.
Are comfortable partnering with senior stakeholders and escalating early when broader input is needed.

Hiring Manager Interview You’ll meet with Cindy (Director of Operations, People) to discuss your background, experience, and alignment with Healthie’s culture, mission and values. (45 minutes)
Executive Conversation You’ll meet with Erica (CEO + Cofounder) for a high-level conversation about Healthie’s vision, values, and team culture. This is an opportunity to ask questions and hear directly from one of our founders about where we’re headed and what matters most. (20 minutes)
Panel Interview – Group Round A group conversation with Anna (VP of Finance), Edgar (Director of IT), and Lee (Executive Assistant), from our Operations team. This round will focus on cross-functional collaboration, communication, and culture fit. (45 minutes)
Final Round – Back-to-Back Interviews Two individual interviews with Tariq (COO) and Cavan (CTO + cofounder), diving deeper into your expertise, strategy, and team alignment. (20 minutes each)
