Recruiter & Executive Assistant (G&A)

Job type: Full Time · Department: People & HR · Work type: On-Site

Tempe, Arizona, United States

TL;DR -

Trainual is hiring a Recruiter & Executive Assistant (G&A). This role is a rare hybrid: full-cycle recruiting + onboarding/employer brand + executive assistant support for two execs in G&A. It’s for someone who loves being the connector, the closer, and the person who makes everything feel easy.

Trainual is a team of 100+ wildly talented humans obsessed with training and accountability. And while our team members come with diverse experiences, we’re united by our passion for making ideas happen. We launched our training & knowledge management software in 2018, and today, thousands of companies in nearly every industry use Trainual to document what they do and how they do it. If you're into turning big ideas into better systems for everyone, you've found the right place.

What you’ll own & improve

1) Recruiting (full-cycle)

  • Run end-to-end hiring for roles across the business (including technical & exec).

  • Own candidate experience: fast, human, and wildly organized.

  • Partner with leaders to define roles, calibrate, and make smart hiring decisions.

  • Build a proactive network of great candidates in Phoenix (you’re not just reacting to reqs—you’re building a bench).

  • Recruiting is lumpy—this might be 10% of your week or 80%, depending on hiring volume.

2) Employee experience projects (onboarding + employer brand)

  • Prepare for and run our week-long, in-person onboarding experience for new hires (it’s a big deal here, we are a training and onboarding company after all).

  • Support employer brand projects (applying to awards, making social content, creating videos for recruiting and culture–human, and real—no corporate cringe).

  • Make onboarding smoother every time (systems, logistics, “surprise and delight,” and the details).

3) Executive Assistant support (VP People + VP Finance)

  • Calendar + inbox management, scheduling, follow-ups, and helping exec priorities move forward.

  • Small research projects, draft docs, deck support, and “get it done” admin.

  • Support board meeting logistics and strategic planning coordination.

  • You’ll also be backup coverage for the CEO’s EA if she’s out of office.

Bonus: Office backup

  • You’ll be the backup Office Manager when our Office & Experience Manager is on PTO (office support, logistics, help things run).

How success is measured

  • Time to hire / time to fill (speed + quality)

  • Attrition signals (especially new hire early risk / onboarding quality)

  • Project completion (onboarding + employer brand + operational follow-through)

  • Qualitative: leaders trust you, candidates rave about you, and nothing slips.

You’ll love this role if…

  • You live to serve — and you genuinely love the “surprise and delight” moments.

  • You’re obsessive (in a good way) about details. Nothing falls through the cracks on your watch.

  • You don’t mind being on camera or “on stage” — interviews, onboarding facilitation, team trainings, company updates.

  • You actually enjoy admin work: calendars, inboxes, coordination, random projects (personal + professional).

  • You’re energized by being in-office and building relationships in real life.

  • You care about the business: you tie hiring back to strategy, team design, and KPIs.

  • You want to learn by osmosis—this role gets you in the room with two exec leaders.

What you already know / bring

  • Experience running full-cycle recruiting (startup/high-growth is a plus).

  • How to build relationships with executives and leaders in all functions.

  • High EQ + strong judgment + confidentiality.

  • Strong written communication and a “make it simple” mindset.

  • You can context-switch like a pro and still deliver quality.

  • You’re comfortable owning logistics and improving messy processes.

  • You aren’t afraid to learn a new skill to tackle a new project.

What you’ll get support on

  • Role design, workforce planning, and leveling support

  • Offer strategy/negotiation and candidate compensation guidance (you won’t be alone there)

  • Clear priorities and context from Sasha + Kelsey—plus a ton of room to make this role your own

Why we’re hiring

We’re hiring because my right hand for the last 5 years just stepped into her first Head of People role at an early-stage local software startup (proud of her… also, help 😅).

About the team

This role reports to our VP of People Ops, Sasha Robinson. With dotted line support to Kelsey Curzon, VP of Finance. We’re sure you've noticed by now - this role is highly collaborative and will work closely with both the People and Finance teams. You’ll also partner deeply with every hiring manager at Trainual.

Compensation

The base salary range for this role is $80-$90k and will be determined based on relevant experience to this role in our industry. It also includes stock options, benefits, and all of our brag-worthy culture perks.

Location

This role is in our Tempe office 5 days a week. That said: have an appointment, a contractor at home, want to work remotely for a couple weeks in the summer? Cool. The default is in-person, but in the spirit of No Red Tape, we’ll make flexibility work.

Ready to apply?

If you’re the kind of person who can run a hiring process, host onboarding with confidence, and keep two execs moving—while still being the warmest person in the room—we should talk.
