Office and Operations Manager

Note: RemotelyHR is hiring on behalf of a Law Firm in Irvine, CA.  

Job Summary: We are seeking an experienced Office and Operations Manager to oversee daily office activities, manage the administrative staff, and streamline operational processes within our law firm. The ideal candidate will be a proactive problem-solver with exceptional organizational and leadership skills, ensuring our office runs smoothly and supports our legal team effectively. 

Duties and Responsibilities: 

Office Management: 

  • Manage administrative staff.  

  • Oversee day-to-day office operations, including managing supplies, coordinating maintenance, and providing administrative support. 

  • Manage and order office equipment, work with the IT company on complaints or requests.  

  • Ensure a professional and welcoming environment for clients, staff, and visitors. 

  • Manage vendor relationships and contracts to maintain office resources and services. 

Operations Management: 

  • Develop and implement operational policies and procedures to enhance productivity and compliance. 

  • Monitor and optimize workflow processes, ensuring alignment with firm objectives. 

  • Collaborate with attorneys and staff to address operational challenges and support case management. 

HR and Benefits Administration: 

  • Process payroll on a bi-weekly basis.  

  • Assist with recruiting and hiring, onboarding and off-boarding.  

  • Manage benefits administration with brokers and benefits team.  

  • Provide leadership and mentorship to administrative staff, fostering a culture of collaboration and accountability. 

  • Manage admin staff, including schedules, time off requests, reviewing timecards, etc.  

  • Organize team-building activities and support HR in onboarding and training new employees. 

Financials and Billing: 

  • Work with the bookkeeper and CPA to ensure that all information to reconcile accounts are received.  

  • Handle bank transfers, wire transfers, approve payments and transactions.  

  • Handle all AP, manage payments to vendors, professionals, etc.  

  • Manage all client billing, review productivity reports. 

  • Manage office budgets, track expenses, and ensure cost-effective operations. 

  • Prepare regular reports on operational performance and suggest improvements. 

Qualifications: 

  • 8+ years of proven experience in office or operations management, preferably within a law firm or legal environment.  

  • Previous management experience is required.  

  • Strong organizational and multitasking skills with a keen eye for detail. 

  • Excellent communication and interpersonal abilities. 

  • Proficiency in office software (e.g., Microsoft Office Suite). 

  • Familiarity with legal office procedures, budgeting, procurement, and vendor management. 

  • Bachelor’s degree in Business Administration, Management, or a related field. 

Benefits and Salary: 

  • $95,000 - $115,000/year
